Bookings Terms and Conditions
By making a booking with Dynamic Rock Climbing Centre Swansea you are agreeing to the following booking terms and conditions.
Making a booking
At Dynamic Rock we receive a high volume of enquiries on a day-to-day basis and we happily respond to all enquiries however an enquiry is not a booking. When interest is shown through the means of an enquiry we will state that a deposit is the only way to secure a booking, once a deposit it received the booking is secured.
When we are taking your booking, we like to gather as much information as possible about the group or individual attending so feel free to tell us about any previous experience, worries or additional needs you or the group may have, the more we know the better as then we can structure the session perfect for you.
When booking in any number of climbing participants for a session you must let us know the maximum that are likely to attend as on the day if the numbers increase and we haven’t had prior warning then we may not be able to cater for any additional climbers.
A deposit is taken during the booking process of any session at Dynamic Rock, once a deposit is taken the booking is considered as secured. Deposits are non-refundable however they are transferable if more than 24 hours notice is given (except group bookings, young climbers club, NICAS and mini monkeys). If you wish to cancel a booking but we are closed please leave a voicemail or you can email us or send us a Facebook message. The amount of a deposit depends on the type of session you are booking onto.
Deposits are taken off the total booking price on the day when the rest of the payment is due.
Gift vouchers are available for purchase at Dynamic Rock and online. Online gift vouchers are valid for 6 months from their issue date. Gift vouchers purchased from Dynamic Rock reception are issued with an expiry date. Under no circumstances are we able to extend the issue/expiry date of gift vouchers. They must be booked and redeemed within these dates. To make a booking to use your gift voucher please call the centre or email us to make a booking. You must state on booking that you are redeeming a voucher.
Young Climbers Club and NICAS
There are three different payment options for YCC and NICAS;
1 – pay as you go £12 a session
2 – buy three for £31 and book those three sessions in advance
3 – pay monthly £36 a month for one session a week
Options 1, 2 and 3 can only be booked in person at the centre, on booking you will be issued with an appointment card (if requested) so that you never miss a date.
If for any reason you cannot make a session you have until 10 pm the night before to move a young climbers club or NICAS session, if the business is closed please leave a voicemail, email or leave us a Facebook message. If you let us know after that or not at all you cannot move the session space, nor will you receive any money back. If you contact us to cancel a session space the space must be re-arranged there and then.
When buying three sessions they must be booked in there and then, they must be booked and attended within 4 months of the purchase date.
Rock Climbing Sessions
Rock Climbing sessions at Dynamic Rock are considered as Taster Sessions, 1:1 sessions, Introduction to Climbing, Young Climbers Club, Coaching Sessions, Learn to Lead Courses, Groups Sessions, Bouldering Class and Birthday Parties.
Taster Session, 1:1 sessions and Coaching Sessions.
The sessions above can be booked in via the website, telephone, email or face-to-face, a deposit is taken when the session is booked in and this secures your booking time. If for any reason you cannot make the session please notify us within 24 hours of the booking taking place and the session can be moved to a different time and day as long as it is convenient for both parties, if you fail to notify us within 24 hours of the booking we cannot move the booking to another day and your deposit will not be refunded.
Introduction to Climbing and Learn to Lead Courses
Introduction to Climbing and Learn to Lead courses can be booked in via telephone, email or face-to-face, a deposit is taken when the session is booked in to secure your booking. If for any reason you cannot make the session, please notify us within 24 hours of the booking taking place and the session can be moved to a different time and day as long as it is convenient for both parties. The Introduction to Climbing Crouse is a three-session course and the Learn to Lead is a four-session course, please keep us updated if you feel that you cannot make any of your sessions.
Full payment for the courses is required when you arrive for the first session.
Group Sessions and Birthday Parties
Group Sessions and Birthday Parties are booked in via telephone, email or face-to-face, a deposit is taken when the session is booked in. If for any reason you cannot make the session please notify us within 3 days of when the booking is due to be taking place and the session can be moved to a different time and day as long as it is convenient for both parties, if you fail to notify us within 3 days of the booking we cannot move the booking to another day and you will not be refunded your deposit.
We understand that it can be difficult to let us know a definite number of how many are going to be attending a group session, the more updated we are the more prepared we can be. If a group/party book in a large quantity e.g. 15 and only 8 turn up as a centre we will charge for a minimum of 12 as this will cover the cost for two instructors.
Outdoor Rock Climbing Bookings
We run outdoor climbing sessions from April – to October every year. Sessions can be booked in at reception and can be booked in for a time that is agreed by both parties. Outdoor climbing is naturally a more high-risk activity and as instructors, we do our best to dynamically risk assess to protect you from additional hazards but a lot of them are out of our control. We are familiar with the venues that we take you to but however sometime for unforeseen circumstances for example fallen rocks or too many people there we will promptly relocate to a different venue.
By taking part in an outdoor climbing session you are agreeing to comply with all the safety guidance provided to you by Dynamic Rock staff.
During outdoor bookings, we are responsible for the climbers and anyone under the age of 18’s, must have an over 18-year-old guardian present, we are not responsible for any additional spectators and we do specify that venues are not suitable for additional spectators.
Individuals taking part and accompanying guardians of under 18’s need to be physically fit enough to walk into the climbing locations, these walks involve small hills and uneven ground and we walk to the venue with a good pace to ensure that we have plenty at the venue when we get there.
Rock climbing is weather permitting, so we keep a close eye on the weather on the run-up to the activity and keep you updated if we feel that we are going to have to cancel or postpone the activity, re-arrangements will be made with it is convenient for both parties. Contact will be via email so please be sure to check your emails.
Rock Climbing sessions can also be tidal, you may want to book a session at a certain location however it could be a tidal location, so please bear that in mind when considering making a booking.
Outdoor Rock Climbing sessions are for those who are booked ONLY. If anyone under the age of 18 years old is attending, we require 1 adult per child to attend (the adult is not required to take part).
If you cannot make an outdoor day we will need 3 days’ notice so that we can fill the session space, if we are notified that you cannot make it after 3 days we cannot refund you your deposit nor can your session space be moved.
Helmets are compulsory during all Dynamic Rock outdoor climbing sessions.
For groups and birthday parties, we offer the use of the café at no additional charge, we ask that groups don’t spend more than 30 minutes in the café after a session, if you are expected to spend more time up there please notify a member of staff.
All courses that have been paid for in part or in full must be booked and completed within 6 months of booking. If for any reason you decide to leave more than 6 months between sessions you will have to pay in for the sessions needed to complete the course. We do not issue refunds should you decide that you no longer wish to complete any courses/sessions.
If Dynamic Rock at any time needs to cancel any pre-booked (must have paid a deposit) session we will refund you your deposit and offer you a discounted rate if you are happy to re-book in.
Session ratios are set as a standard for all Dynamic Rock sessions, if you for any reason feel like you would need more instructors for your booking please speak to the Dynamic Rock management and this can be arranged for an additional fee.
All Dynamic Rock sessions start at the stated time when you make the booking, if you arrive late the session will start from the time you arrive and end at the time your booking was supposed to, sessions will not run over if you are late.
During all Dynamic Rock instructed sessions all instructors reserve the right to ask any individual to no longer be a part of the session if at any time if their behaviour or actions are deemed to be unsafe by our instructors.
During sessions we will provide you with all the necessary kit for the activity, if you wish to use your own you are doing this is at your own risk and the kit is your responsibility. If you do not know the life span of your kit or where it has been stored, we will ask you to use ours as it frequently goes through thorough checks to ensure it is safe for your use.
By taking part in an indoor rock climbing session you are agreeing to comply with all the safety guidance provided to you by Dynamic Rock staff.
